Privacy Policy Notice for POLIG 26 Conference & Expo

We process your personal data in order to register your participation in the POLIG 26 Conference & Expo, organize and administer the event, communicate with participants, process payments, and ensure the proper running of the conference. The legal basis for this processing is Article 6(1)(b) GDPR.
We also process your personal data where necessary to comply with legal obligations, including accounting, tax, and complaint-handling requirements, on the basis of Article 6(1)(c) GDPR.
Where necessary, we may also process your personal data in order to establish, exercise, or defend legal claims related to the conference, on the basis of Article 6(1)(f) GDPR.
If you give separate consent, your personal data may also be processed for promotional or marketing purposes, on the basis of Article 6(1)(a) GDPR.
The personal data we process may include your name, e-mail address, telephone number, participation details, information about accompanying events, company details, and billing information.
Your personal data may be shared with service providers supporting the conference, including IT, hosting, payment, accounting, and legal service providers, as well as other entities authorized to receive such data under applicable law.
Your personal data will be retained for as long as necessary to register, organize, deliver, and settle your participation in the conference, and afterwards for the period required by applicable law or until deletion is requested, where legally permissible. The surnames of authors of speeches, papers, and presentations may be published in conference materials and the conference programme.
You have the right to access your personal data, request its rectification, erasure, or restriction of processing, object to processing based on Article 6(1)(f) GDPR, and, where applicable, request data portability.
Where processing is based on your consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before the withdrawal. You also have the right to lodge a complaint with the competent supervisory authority.
Your personal data may be shared with a conference partner only if you give separate, voluntary consent for this purpose. In that case, the legal basis for such processing is Article 6(1)(a) GDPR, and the recipient of the data will be the partner identified in the relevant consent wording.
If one person registers multiple participants, they should provide each participant with this Privacy Notice. Where personal data has not been collected directly from the individual concerned, the Foundation will fulfill its information obligations in accordance with Article 14 GDPR
Image/Filming Consent
I consent to the free-of-charge recording of my image during the POLIG 26 Conference & Expo, organized by the Polish Fire Suppression Systems Foundation (the “Organizer”) on 11–12 March 2026, in the form of photographs and audio-video recording, as well as to its use, reproduction, and publication by the Polish Fire Suppression Systems Foundation for informational, promotional, marketing, and documentation purposes related to the POLIG 26 conference and the Foundation’s activities. These images could be used in print and digital media formats including print publications, websites, e-marketing, posters banners, advertising, film, social media, teaching and research purposes.
This consent includes, in particular, the publication of my image on the Organizer’s website, in the Organizer’s social media, in promotional, informational, and event summary materials, and in conference coverage, regardless of the form of distribution.
I understand that some images or recordings may be kept permanently once they are published and be kept as an archive of the conference POLIG 26.
I declare that this consent is voluntary and may be withdrawn by me at any time; however, withdrawal of consent does not affect the lawfulness of the use of my image prior to its withdrawal.
